King’s College London case study: creating internal comms fit for the audience

Magenta supported King’s College London’s estates team with a variety of internal communications projects. The university was undergoing some changes, and these needed to be communicated internally as well as externally on King’s College London’s intranet and website.

The estates and facilities team required guidance about the best ways to communicate for cut through of their messaging. It was evident to Magenta that more information was needed from the internal audience before the correct and most effective communications channels could be defined.

Feedback from staff workshops

Magenta designed a series of staff workshops to gather input about how the audience digested information and the most useful means of communication. Findings revealed that it was important that messaging was easily accessible, easy to read, easy to understand and added value, as well as being attractive, engaging and user friendly. This is something that had previously been problematic with the right people being able to locate the right information.

Once the facts had been uncovered, Magenta presented a plan to King’s College London which entailed a refreshed intranet, new content on external web pages in a style and tone of voice that was easily digestible with bite-size information.

Refreshed online content

Working with the estates and facilities team, Magenta supported the university with the development of a refreshed internal intranet, as well as the creation of new external web pages.

Copywriting was in plain English with standout captions. Page content on the intranet was made attractive by use of graphics and displayed in bite-size pieces of information – something that visually stuck in people’s minds.

Increased staff and student engagement

The revised collateral and launch of the refreshed intranet resulted in higher traffic to the internal communications portal. Email communication alerting students and staff to new content were well received and helped change mindsets about how useful information was on the intranet and highlighted the benefits of the newly revitalised information hub. There were fewer queries to the estates helpdesk, freeing up their time for other activities.

These successes led to a secondary project to support the King’s estates team to promote its work modernising the Denmark Hill Campus, particularly the creation of new student accommodation called Champion Hill Residence.

The Magenta team helped King’s College London communicate the project goals to key stakeholders via a carefully design e-comms series to existing and potential students and their parents and academics, ensuring buy-in from everyone and creating buzz and excitement about the progressive modernisation efforts, creating a better learning and living environment for students.
