University of Sussex case study: building a procurement blueprint

In advance of the University of Sussex’s first-generation outsourcing programme for its facilities management and catering, conferencing and banqueting services, Magenta was commissioned to run a series of focus groups to explore what worked about the current estates and catering provisions, and what might be improved.

A two way conversation

The aim was to generate genuine feedback from stakeholders – students, academics and support staff – about the current service and gain their ideas for the future, which could then be fed into the contract procurement process. It was important stakeholders felt their views had been listened to and that this process gave stakeholders a platform to speak and a safe space to be honest.

Better together

The Magenta team ran eight intimate workshops for people who had either volunteered, or been volunteered by their teams, to contribute to the procurement discussion. The group size was a maximum of 12 meaning everyone had the opportunity to contribute and be involved.

We asked a series of direct open questions to gather as much meaningful information as possible that could inform future change. The questions were carefully planned to influence discussion. This led to many other avenues being explored and areas of consideration to be raised.

Our research culminated in a report which was presented to the university with a suggested new framework, and then shared with the various organisations interested in becoming FM and catering partners.

Aligning values

This project enabled the procurement process to be more streamlined, saving the university time and money, and ensured that prospective suppliers aligned with The University of Sussex’s values and key criteria. Stakeholders were much happier with the new process, and it encouraged more quality bids.
